To be the first point of contact for all phone calls and visitors to the office and will provide administrative support. Ensuring that the administration aspects of the office are maintained to high standards and function smoothly. Assisting the Head of Technical Claims with general administration of ligated files and providing administrative support to the UK Claims Manager and internal technical staff. Locating and referring claim files appearing on diary lists. Updating records and filing on a daily basis, ensuring that everything is maintained in good order.
The general admin duties will include shredding documents, sending cheques out, handling incoming post to the office. Collecting and franking outgoing post. Ensuring incoming faxes are directed appropriately. Extraction of data from closed files. Entry of data onto closed file spreadsheets. Referring files flagged for audit appropriately. Processing of final adjuster fee. Ensuring that brokers are updated upon file closure. Maintenance of the office files, archiving files and logging in the archived file records. Maintenance and updating of archived file records. Retrieval of archive files where requested. Monitoring stocks of stationery and equipment.
Good communication skills essential, both verbal and written with other employees and clients at all levels. A high degree of accuracy and good attention to detail. The ability to manage and prioritise tasks working to short deadlines. The ability to adapt to changing requirements within a changing environment. Ability to work under own initiative and also as part of a team. Will have good IT skills, particularly in MS Excel, also experience in other MS packages, Word, etc.
